Automated Employee Onboarding Process

Challenge:

As with most companies, the employee on-boarding process is manually intensive, usually requiring an HR person to reach out and confirm everything is in place for the new employee’s first day. This is further exacerbated in the IT Services industry, where the new employee is usually being placed at a customer site and the on-boarding procedures of the customer as well as the company have to be followed. The company was looking for a way to automate the employee onboarding process, including setting credentials, email, and completing paperwork usually completed on the first working day.

Solution:

Odyssey was configured to automate the process. The employee would receive an email to complete some information. Upon returning the email, based on a set of rules for the position that the person would full, Odyssey then proceeded to set the person up on the HR system, create the records for the employee benefits selected, create the person’s employee email account, and provide access to the systems the new employee would need to complete their work. In addition, if new equipment was required, Odyssey would also initiate this process as well. Along the way, as certain approvals were required, Odyssey would obtain the necessary approvals before proceeding. The employee was also scheduled for any required training courses.

Benefits:

  1. HR time in the onboarding process was cut by 80% as approvals and requisitions normally taking days to turnaround, were now handled and expedited by Odyssey. This led to HR employees being able to perform more higher-level work and better job satisfaction.
  2. The employee was ready to begin training and work on the first day, as most of the typical first day paperwork had already been completed. The smoother on-boarding process led to more satisfied new employees.
  3. The employee’s new manager was able to have the employee form day one and begin the introduction process immediately. Also, as all equipment required for the new employee had already been secured, this burden as no longer on the manager.
  4. Reports provided by Odyssey could be reviewed to identify areas for further on-boarding improvements.
